VAT for Freelancers: A Complete Guide

Value Added Tax doesn't have to be confusing. This guide covers everything freelancers need to know — from registration thresholds to invoicing requirements.

What is VAT and Why Should Freelancers Care?

VAT (Value Added Tax) is a consumption tax applied to goods and services in over 170 countries. If you sell services to clients in the EU, UK, Australia, or most countries outside the US, VAT likely applies to you.

As a freelancer, you may need to:

  • Register for VAT once you exceed a revenue threshold
  • Charge VAT on your invoices
  • File periodic VAT returns
  • Reclaim VAT on business expenses

VAT Registration Thresholds by Country

You don't need to charge VAT until your revenue exceeds a threshold (or you can voluntarily register earlier). Here are common thresholds:

CountryThresholdStandard Rate
United Kingdom£90,000/year20%
Germany€22,000/year19%
France€36,800/year (services)20%
Netherlands€20,000/year21%
Australia (GST)A$75,000/year10%
Canada (GST/HST)C$30,000/year5–15%

Note: Thresholds may change. Always check your local tax authority for the latest figures.

How to Add VAT to Your Invoices

Once registered, your invoices must include:

  1. Your VAT number — Displayed prominently on the invoice
  2. Net amount — The price of your service before VAT
  3. VAT rate applied — The percentage (e.g., 20%)
  4. VAT amount — The calculated tax (Net x Rate)
  5. Gross total — Net + VAT, what the client pays

Cross-Border VAT: Selling to Clients in Other Countries

This is where it gets tricky. The rules depend on whether your client is a business (B2B) or a consumer (B2C):

B2B (Business to Business)

In the EU, the "reverse charge" mechanism applies. You invoice without VAT, and your client accounts for VAT in their own country. You need their VAT number and must include "Reverse charge applies" on the invoice.

B2C (Business to Consumer)

For digital services to EU consumers, you may need to charge VAT at the consumer's country rate. The EU's One Stop Shop (OSS) scheme simplifies filing across multiple countries.

Reclaiming VAT on Business Expenses

One of the benefits of being VAT-registered: you can reclaim VAT paid on business expenses. This includes:

  • Software subscriptions (Adobe, hosting, tools)
  • Hardware (laptop, monitors, phone)
  • Office supplies and coworking fees
  • Professional services (accountant, lawyer)
  • Training and conference tickets

Keep all receipts with VAT breakdowns. Most countries require you to have a valid VAT invoice to claim input tax.

Should You Voluntarily Register for VAT?

Even if you're below the threshold, voluntary registration can make sense if:

  • Most of your clients are VAT-registered businesses (they can reclaim it)
  • You have significant business expenses with VAT you want to reclaim
  • It makes your business look more established and professional

The downside: more paperwork and filing obligations. If your clients are mostly consumers, adding 20% to your prices makes you less competitive.

Common VAT Mistakes Freelancers Make

  1. Missing the registration deadline — You must register once you hit the threshold, not after. Penalties apply for late registration.
  2. Charging the wrong rate — Different services may have different rates (standard vs. reduced).
  3. Not separating VAT from income — VAT collected is not your money. Set it aside in a separate account to avoid cash flow surprises at filing time.
  4. Forgetting reverse charge rules — B2B cross-border services in the EU require reverse charge treatment.
  5. Poor record keeping — You need valid VAT invoices to reclaim input tax. Digital records are accepted in most countries.
